Make one accurate passenger list
Collect passenger counts, flight details and accommodation addresses before requesting transportation. Separate passengers arriving on different flights. A group label such as family reunion does not tell the provider how many vehicles or bags to plan for.
Describe the luggage
Include checked bags, cabin bags, strollers, mobility equipment and sports gear. Ask the provider to confirm the exact vehicle arrangement. If everyone must travel together, make that requirement explicit before accepting a booking.
Choose a coordinator
Give one person the driver’s contact information and make that person responsible for communicating when the group is ready. Share the meeting instructions with all travelers. Agree on what to do if one person’s bag or flight is delayed.

A transfer to accommodation, an event shuttle and a day with several stops have different timing needs. Specify all stops and waiting periods, and confirm the return plan. For a gated resort or convention venue, share the designated group entrance.
